Terms & Conditions

Last updated: 30 January 2026

A clear set of rules keeps payroll calm. These terms cover how services are delivered, responsibilities, and what happens if something changes.

Overview

These Terms & Conditions set out the basis on which we provide payroll services. If you engage us for services, you agree to these terms.

Services
  • PAYE payroll processing (weekly or monthly)
  • Onboarding and migration support
  • Employee query handling (where agreed)
  • Reporting packs and exports (where agreed)
  • Operational support for pensions and benefits administration (where agreed)
Client responsibilities
  • Provide accurate and complete payroll inputs by agreed deadlines
  • Approve pay run outputs before payments are made
  • Maintain HR records and employee contracts
  • Ensure the right authorisations are in place for payroll changes
  • Keep login credentials and payroll files secure
Our responsibilities
  • Process payroll based on information you provide
  • Apply agreed checks and raise queries where something looks wrong
  • Deliver outputs in the agreed format and schedule
  • Keep records and correspondence in an organised manner
Fees and payment

Fees are agreed separately in writing (proposal, order form, or email). Invoices are payable within the agreed terms. Late payment may result in service pause where payroll delivery is at risk.

Deadlines and cut-offs

Payroll relies on cut-off times. If inputs arrive late or incomplete, we will do our best to help, but we cannot guarantee delivery to the usual schedule.

Confidentiality

Both parties agree to keep confidential information private and to use it only for the purpose of delivering and receiving the services.

Limitation of liability

We are not liable for losses caused by incorrect or incomplete information supplied by the client, late approvals, or circumstances outside our reasonable control. Where liability cannot be excluded, it is limited to the fees paid for the affected service period, to the extent permitted by law.

Termination

Either party may terminate services with written notice, subject to any agreed minimum term or outstanding fees. We will support an orderly handover where reasonably possible.

Governing law

These terms are governed by the laws of England and Wales.

If anything in these terms is unclear, ask. We’d rather explain it than hide behind jargon.
